Portsmouth Climate Festival events – things to think about

We would like to encourage as wide a range of events to be part of Portsmouth Climate Festival as possible, and are encouraging all organisations and individuals who think they could lead an event to submit ideas.

If you are thinking about organising an event, here are some things to think about:

  • Relevance – is the event in line with the overarching objectives of the festival – will it support raising awareness of the climate emergency in Portsmouth, and actions that need to be taken?
  • Access – How will you make sure that your event is open to all and as far as possible any barriers to participation are removed? Safety – how will you ensure that the event can be run safely, including ensuring that any relevant Covid safeguards are in place? You should carry out a site risk assessment and a covid risk assessment. Guidance on the planning process behind organising a safe and a successful event can be found on the Portsmouth City Council website.

How to submit an event to the organisers

If you have an idea that you would like to put forward, you will need to submit an application to the Portsmouth Climate Festival organisers. This can be done using our online form and will need to include the following details:

  • Title and suggested dates and times of events
  • Where the event will take place (physical or digital)
  • If there will be an entry fee and if so, how much?
  • Name, contact details and website (if available) for the organising body
  • Description of the event (word limited)
  • Category of event (eg. arts and culture, campaigning or awareness, children and young people, conference/seminar, educational, other)
  • Category of the organising body (campaigning/awareness, arts, youth, school or college, university, other)
  • Target audience
  • How many people expected to attend
  • Will people need to book to take part, and if so, how?
  • Confirm that appropriate public liability cover is in place.

If the organisers believe the event meets the objectives of the festival, allows for broad participation and can be held safely, then the event will be added to the programme for the festival on-line and the event organisers will be sent resources including a downloadable logo and posters. The event may be included in central festival promotion, but once the festival organisers have accepted the event, then event organisers will also be able to carry out their own promotion.

Event venues

It will be up to the event organisers to secure relevant permissions for their events, including securing venues, and to ensure they have sufficient public liability cover in place.

If you are planning to hold an event on Portsmouth City Council land you must complete the full event application form. The form is designed for all events including street parties and beach cleans, so please complete as much information as possible relating to your event.
As a part of the application you will need to upload your event risk assessment, public liability certificate and a site plan with a clear illustration of the layout of your event.
